Privacy notice

Lucas & Friends is the data controller for the information you give us. You can reach us at hello.lucasandfriends@gmail.com or on WhatsApp.

What we collect

If you fill in our interest form we receive what you type into it: your name, your contact details, the area you are in, who the enquiry is for, and anything else you choose to tell us. If you write to us on WhatsApp or by email, we hold that conversation. We never ask for card numbers, PINs or passwords.

Why we hold it

We use your details to answer your enquiry, arrange the first meeting and, if you go ahead, to plan visits and invoice you. Our lawful basis is that you have asked us to take steps before entering into a contract, and our legitimate interest in replying to an enquiry. Where you tell us about someone’s health or care needs, that is special category data and we rely on your explicit consent, so please tell us only what you think we need to know.

Who else sees it

Our interest form is a Google Form, so Google processes submissions on our behalf; our email is Gmail; WhatsApp messages are handled by Meta. Those providers may process data outside the UK under the safeguards set out in their own terms. We do not sell your details and we do not add you to any marketing list.

How long we keep it

If you decide not to go ahead, we delete your enquiry within twelve months. If you become a client, we keep records for as long as we are working together, and for six years afterwards for insurance and tax.

Your rights

You can ask for a copy of what we hold, ask us to correct or delete it, object to how we use it, or withdraw your consent at any time. Write to us and we will do it. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.

Cookies and this website

This site sets no cookies of its own, and we run no analytics, advertising or tracking scripts on it. It does load its typefaces from Google Fonts, which means Google receives your IP address in order to serve them.

Following a link away from the site takes you somewhere we do not control: our interest form is hosted by Google and WhatsApp by Meta, and each sets its own cookies under its own policy.

Terms and conditions

What we provide

Companionship and social support: company at home, outings, appointments, practical help and meals eaten together. We do not provide personal care, nursing, the administering of medicines, or cleaning as a service. If hands-on care becomes what is needed, we will say so plainly and help you find a registered care provider.

Visits and cancellations

Weekday visits are booked in blocks of two hours or more. Cancellations made with less than 24 hours’ notice are charged at half. There is no joining fee, no contract and no notice period, so you can stop at any time.

Rates and payment

The rates that apply are those published on our website when the visit is booked. We bill monthly in arrears. If we drive, outings are charged at 45p a mile; tickets, lunches and coffees are your own.

Your companion

Every companion is interviewed and trained by our founder, holds an Enhanced DBS check and is trained in safeguarding and first aid. We aim to send the same person each time, though for last-minute requests we cannot guarantee it. You will always know who is coming before they arrive.

Money and valuables

Companions do not handle bank cards, PINs or wills, and are not witnesses to legal documents. Shopping is done on receipts and reconciled with you.

When an arrangement ends

Either of us may end an arrangement at any time. We may also end one if the work moves beyond companionship into care we are not registered to give, or if a companion’s safety cannot be assured.

Insurance

We carry full public liability and professional indemnity insurance.

Changes and governing law

We may update these terms; the version on this page is the one that applies. These terms are governed by the law of England and Wales.
